What information we collect

A. Provided data

Travel All Season’s main purpose in gathering personal data and other user information is to maintain its service, ensure safe and reliable performance of that service for its users, and upgrade and improve the functionality of its services and products. Personal data and other user information collected by Travel All Season is used to complete user registration and, at the same time, to secure the user’s access to Travel All Season’s services and products.

When you register on our website, submit an enquiry, or book a tour through www.travelallseason.co.in, we ask you to provide information such as: name, surname, company or business name, postal address, e-mail address, contact number, and — where a booking is confirmed — traveller details (passenger names, dates of birth, passport or government ID details, visa information and emergency contact details) together with credit or payment card information.

We may also collect preferences and special requirements you choose to share with us — seasonal or destination preferences, dietary needs, medical or accessibility requirements, and room or seating preferences — solely so that we can fulfil the arrangements you have asked us to make.

Where you only browse tours or make a general enquiry, payment card information is not required. We additionally collect personal data provided by users while they use our services and programs, including messages sent through our contact and enquiry forms, reviews and feedback, and correspondence by e-mail, telephone, WhatsApp or chat.

B. Automatically collected data

Some information — such as your IP address, domain, browser type, operating system type, device identifiers, referring page, pages viewed and time spent on the site — may be acquired automatically when a user visits or interacts with our website or application. This information is used for site security, diagnostics, traffic analysis and improvement of our services, and is not used to identify you personally except where necessary to investigate misuse or fraud.

C. Data received from third parties

Payment information

Travel All Season does not store your full card number, CVV or net-banking credentials on its servers. Payments are processed by third-party payment gateways operating under their own security standards. We receive only a transaction reference, the amount, the transaction status, and limited card metadata such as the card brand and the last four digits.

How we use the information

Personal data collected by Travel All Season is used in order to:

  • register users and manage their accounts, enquiries and bookings;
  • confirm, amend or cancel travel arrangements with suppliers on the user’s behalf;
  • issue booking confirmations, itineraries, vouchers, reminders and other service communications;
  • respond to enquiries, support requests and complaints;
  • process payments, refunds and chargebacks;
  • personalise the tours, seasons and destinations displayed to the user;
  • send newsletters, promotional offers and seasonal travel deals, where the user has opted in;
  • operate, secure, maintain and improve our website, application and services;
  • detect, prevent and investigate fraud, misuse and unauthorised access;
  • comply with legal, tax, immigration and regulatory obligations.

Disclosure of information

Travel All Season does not sell personal information. We disclose personal data only as necessary, to:

  • Travel suppliers — airlines, hotels, resorts, transport operators, tour operators, guides and activity providers, so that a booking can be delivered. Such suppliers process your data under their own privacy policies.
  • Payment gateways and banks — to process transactions and refunds.
  • Agents and service providers — hosting, e-mail and SMS delivery, analytics, customer support and IT maintenance vendors acting on our instruction.
  • Government and regulatory authorities — including immigration, customs and tax authorities, where required by law.
  • Professional advisers, insurers and successors — in connection with legal claims or a business transfer, merger or acquisition.

International transfers

Travel is international by nature. In order to deliver a booking, your details may be transferred to suppliers and authorities in the destination country, which may operate under data protection laws different from those of your own country. Where such a transfer is necessary, we take reasonable steps to ensure that your information remains protected and is used only for the purpose of the arrangements you have booked.

Data retention

We retain personal information only for as long as it is required. Booking records are held for the duration of the trip and thereafter for as long as necessary for accounting, tax and legal purposes. Enquiries that do not result in a booking are held for a limited period unless earlier deletion is requested. Marketing data is held until the user unsubscribes or withdraws consent. Information that is no longer required is deleted or anonymised.

Security

Travel All Season applies reasonable technical and organisational measures — including access controls, encrypted transmission (HTTPS/SSL) and restricted internal access — to protect personal information against loss, misuse and unauthorised access. No method of transmission or storage over the internet is entirely secure, and absolute security cannot be guaranteed. Where a breach affects your personal data, we will notify you and the relevant authorities as required by law.

Choice and your rights

Subject to applicable law, including the Digital Personal Data Protection Act, 2023, a user may:

  • access the personal data held about them and a summary of how it is processed;
  • correct or update information that is inaccurate, incomplete or out of date;
  • request erasure of data that is no longer required and that we are not obliged to retain;
  • withdraw consent to processing, including consent to marketing communications;
  • nominate another individual to exercise these rights in the event of death or incapacity;
  • raise a grievance with us or with the relevant data protection authority.

Users may opt out of marketing communications at any time using the unsubscribe link in any message, or by writing to us. Service communications relating to an active booking are not marketing and will continue to be sent. Requests may require identity verification before they are acted upon, and we aim to respond within 30 days.

Children

Our services are not directed at children under the age of 18. We do not knowingly collect personal information from a child other than as part of a family booking made by a parent or guardian, who remains responsible for the details supplied. If you believe a child has provided information to us independently, please contact us and we will delete it.

Changes to this Privacy Policy

Travel All Season may revise this Privacy Policy from time to time. Any revised version will be published on this page with a new effective date, and material changes will be notified by e-mail or by a prominent notice on the website. Continued use of our services after such a change constitutes acceptance of the revised Policy.
